Privacy Policy

The Grand Terrace Lions Club respects your privacy. This policy explains what information we hold about members, how we use it, and — in particular — how we handle mobile numbers and text messaging.
1. Information we collect
We hold the information a member gives the club: name, mailing address, email address, mobile telephone number, the date they joined, and any club office they hold. Members may add a photograph. If a member claims an expense back from the club, we hold the receipt they submit.
We do not collect information from the public. There is no sign-up on this site — the member portal is open only to people already on the club’s roster.
2. How we use it
We use it to run the club: to tell members about meetings and service projects, to send the sign-in code that lets a member into the portal, to keep the roster the club is required to keep, and to keep the club’s books. We do not use it for advertising, and we do not profile members.
3. Mobile information and third parties
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories of personal data exclude text messaging originator opt-in data and consent; this opt-in information will not be shared with, sold to, or rented to any third parties under any circumstances.
We use service providers to deliver messages and to host the portal — currently Twilio for text messages, Resend for email, Supabase for the database, and Vercel for hosting. They act on the club’s instructions and may not use members’ information for their own purposes.
4. Lions Clubs International
As a chartered Lions club, we report membership to Lions Clubs International and to our district as membership records require. That reporting does not include mobile opt-in data.
5. How long we keep it
We keep a member’s record for as long as they are a member, and afterwards only as long as the club’s own records and its tax filings require. Financial records, including expense receipts, are kept as long as the law requires for the club and for the club’s 501(c)(3) charity.
6. Security
The portal requires a sign-in code sent to the member; there are no passwords to be guessed or reused. Records are protected so that each member sees only what their role in the club allows — expense receipts and financial records, for example, are visible only to the member who submitted them and to the club’s treasurer.
7. Your choices
A member may stop text messages at any time by replying STOP, by changing it in the portal, or by asking an officer. The same is true of club emails. A member may ask to see or correct what the club holds about them by writing to the address below.
8. Children
The portal is for adult club members. We do not knowingly collect information from children.
9. Changes
If this policy changes we will post the new version here with a new effective date.
